Overview of User Roles

DepositLink offers multiple user roles and permissions to effectively manage your teams. 

Client Admin: Oversees transactions for all companies, offices, teams, and agents.

Company Admin: Oversees transactions for all offices, teams, and agents in a company.

Office Admin: Oversees transactions for teams and agents in an office.

Team Admin: Oversees transactions for an agent team.

Agent: Oversees and manages transactions for an individual agent account.

Admin-level users can have additional permissions. Those are as follows: 

Manage Bank Accounts: Has access to see/manage the Businesses & Bank Accounts page on their offices tab.

Refund: Can initiate refunds in DepositLink using the Refund Payer button on Cleared transactions that were sent to the company’s bank account.

Edit Property Address: Can edit the property address of a deal at any time. (An Agent or Admin can only edit a property address before an associated payment is submitted.)

Send Payment: Has access to the Send Payment button on their Deals tab if the payment type is configured in their account.

Accept Payment: Can accept payments on behalf of their company if a payment is sent to them from another DepositLink user.

Tip: You can configure additional permissions for any user role if necessary (excluding Agents and Team Admins). However, we recommend sticking with the default roles and permissions provided.

Connecting Your Bank Account

DepositLink offers three methods to connect your bank account: Plaid, GIACT, and Micro-Deposits. 

Connect with Plaid:

With Plaid, connecting your bank account is easy.

  • Step 1: Select your financial institution from a list.
  • Step 2: Enter your login and password.
  • Step 3: Plaid works behind the scenes to build a secure, ongoing connection between DepositLink and your bank.

Connect with GIACT:

With GIACT, you can manually enter your banking details. This option is best if your financial institution is not available to connect with via Plaid. 

  • Step 1: Enter your Information in the window that appears. Create a Password, and check the Terms of Service boxes.
  • Step 2: The next screen will allow you to enter both your Routing and Account numbers.
  • Step 3: The final step will allow you to review and confirm to begin verifying. 

Connect with Micro-Deposits:

DepositLink sends two small deposits (usually under .10¢) to your bank account. You will then need to confirm the exact amounts in DepositLink in order to verify ownership. This typically takes 1–2 business days to complete, and is ideal if your bank isn’t listed in the Instant Verification search.

Security Note: Whether you connect instantly or via micro-deposits, DepositLink never stores your online banking login credentials, account numbers, or routing details.

All verification steps are handled securely by our trusted partners (such as Plaid, Dwolla, and GIACT), ensuring your sensitive information never touches our servers.

Setting Up Your Profile

  • Step 1: Click on the Icon in the top right and then click My Account.
  • Step 2: You can edit your First and Last Name information from here. 

Please note: Email address and Phone Number updates will require Admin-level permissions to adjust. 

Adding a Profile Photo

  • Step 1: Click on the Icon in the top right corner and select My Account.
  • Step 2: On the Edit Profile page, click the Change Profile Picture link.
  • Step 3: Drag-and-drop the photo file or use the Click here to browse link to select a photo, and click Save.
  • Step 4: Click Save on the Edit Profile page to confirm the changes.
Success! You've added your profile picture. 

How to Enable Two-Factor Authentication

  • Step 1: Click on the Icon in the top right and then click My Account.
  • Step 2: In the left sidebar menu under Profile, scroll down and click on the Security section.
  • Step 3: Click the Add Authenticator App button.
  • Step 4: The next screen provides links where you can download either the Google Authenticator app or the Microsoft Authenticator application to your phone. Once the app is downloaded to your device, click Next.
  • Step 5: Scan the QR code from the downloaded app. That should add a code for your DepositLink username in the app. Click Next.
  • Step 6: Enter the code the app has generated and click Verify.
  • Step 7: Save recovery codes. Click Next.
Success! Now that the authenticator app option is enabled, please refer to the code generated by the app at login. Close Window.
