Understanding Payment Statuses, Limits, and Timelines

ACH Overview

ACH stands for Automated Clearing House, a secure electronic network that moves money between U.S. bank accounts. It’s how DepositLink transfers funds between agents, clients, and brokerages—digitally and efficiently, without paper checks or wire transfers.

There are two main types of ACH transfers:

  • ACH Credit (Push): Funds are sent or “pushed” from one account to another (for example, a client sending a deposit to a brokerage).
  • ACH Debit (Pull): Funds are withdrawn or “pulled” from an account (for example, an agent collecting rent from a tenant).

The ACH Network is managed by the National Automated Clearing House Association (Nacha), which sets strict rules and security standards followed by all participating banks and payment providers.

Processing Times in DepositLink

DepositLink uses the ACH (Automated Clearing House) network to transfer funds between banks. ACH is secure, reliable, and widely used for business and personal payments, but it’s not instantaneous — processing times depend on your bank, the day of the week, and when the payment is initiated. 

You can always track a payment’s progress by checking its transaction status inside DepositLink.

*Payments can be requested through DepositLink at any time; however, funds only move through the transfer process Monday through Friday (non-holidays).

Payments can be canceled by payers, agents, or admins prior to being batched at 5 PM ET each business day.

Payments can only be refunded by an approved company admin. Company admins are notified when a failed payment occurs, and any advanced funds by Dwolla will be reconciled from the account where they were deposited.

Transaction Status Definitions

Every payment in DepositLink moves through specific status stages so you can track its progress from start to finish:

  • Initiated: A payment request has been sent to a Buyer/Tenant Agent to connect a Buyer or a Tenant for payment.
  • Requested: A payment request has been sent to the Buyer or Tenant, either directly or through a Buyer/Tenant agent.
  • Pending: All parties have completed required actions. Payment will be in the next ACH batch at approximately 5 PM ET each business day.
  • Funds Arriving: Funds have left the payer’s bank account and are en route to the destination bank account.
  • Posted: Funds have reached the destination bank account, and two banking days must pass for the payment to be confirmed as Cleared for withdrawal.
  • Cleared: Funds are available for withdrawal.
  • Expired: The payer did not make the payment before the deadline set by the agent who initiated the request. The agent must log in and set a new deadline to resend the request.
  • Failed: The payer’s bank returned an ACH failure code, and the payment did not go through.
  • In Rental Wallet: The funds are being held in the company's Rental Wallet, and can be returned to the sender or forwarded to the final recipient when ready.
  • Returned: Funds have been returned to the sender’s bank account.
  • Sent: An Admin has sent a payment for acceptance by a named recipient.

Status Definitions That ONLY Apply To Redirected Payments

A redirected payment is a payment that is requested from a buyer or a tenant and redirected to a 3rd party, such as a landlord, listing company, escrow holder, attorney, etc.

  • Redirected: Buyer or Tenant has connected a bank account and authorized a payment to be sent to a 3rd party (Landlord, Escrow Holder, etc.). Payment will not change to Pending until the receiving party accepts the payment, and the agent/admin who initiated the request approves that the payment has been accepted by the correct party.
  • Accepted/Needs Approval: The party accepting the redirected payment has connected their bank account to accept the payment, and the agent/admin who initiated the request must now log in to approve the transfer. Payments in a Needs Approval status will be approved at 9 AM EST after being in Needs Approval for 48 hours.
  • Approved: The initiating agent/admin has approved the payment has been accepted by the correct party, and the payment is now Pending.

Payment Limits & Thresholds

DepositLink and its payment processing partners (such as Dwolla), as well as various banking institutions, apply certain transaction limits to protect against fraud and comply with banking regulations.

Default Limits:

  • Single Transaction Limit: $250,000.000 (Anything above $50,000 will require additional verification).

  • Daily Limit: The total amount your bank account can send or receive in a single day.

  • Monthly Limit: The total amount your bank account can send or receive in 30 days.

Why Limits Exist:

  • Prevent fraudulent or unauthorized large transfers.

  • Comply with federal banking and anti-money laundering regulations.

  • Reduce processing delays caused by substantial transactions.

Adjusting Your Limits: If you expect higher transaction volumes (e.g., large earnest money deposits or luxury property sales), contact DepositLink Support to discuss increasing your limits. Additional verification may be required.
